Frequently Asked Questions.

How long can I hold a date without paying?

Provisional bookings can be held for 3 days. If the required booking deposit or agreed booking payment is not received within this time, the date may be released and made available again.

Do you require a deposit?

Yes. A booking deposit or agreed booking payment is required to secure your date.

A separate refundable security/damage deposit of £50–£100 may also be required, depending on the booking size. This is held to cover damage, loss, staining, missing items, late access or late collection issues.

The refundable security/damage deposit is returned within 48 hours after the event, once all equipment and styling items have been inspected.

When is full payment due?

The remaining balance is due 14 days before your event date. At this point, final guest numbers, timings, location, styling details and any extras will be confirmed.

 

What areas do you cover?

We are based in Coventry and cover Coventry, Warwickshire and surrounding areas.

Delivery, travel and collection fees will be confirmed in your quote or invoice before booking. Any additional parking, permit or venue access fees will be the responsibility of the hirer unless agreed otherwise in writing.

What if it rains?

Outdoor bookings are weather dependent, so we strongly recommend having a suitable backup plan, such as an indoor space, covered area or gazebo.

If poor weather is forecast, we can offer one complimentary reschedule within 3 months, subject to availability. Full refunds are not offered due to unsuitable weather, so please make sure you have a backup plan in place.

Can I choose any location?

Yes, as long as the space is suitable, safe, level and has the correct permission.

For public parks, gardens, shared grounds or hired venues, you are responsible for checking whether permission, permits or venue approval are required before the event.

Do I need to be there for setup and collection?

Yes. You, or an agreed representative, must be present and contactable at the agreed setup handover time and pack-down/collection time.

A 10-minute grace period is allowed. After this, late/waiting fees may apply.

How long do I get the setup for?

The Duo, The Six and The Twelve include 3 hours of hire.

The Twenty Five and The Thirty include an additional hour at no extra charge.

Need more time? Let us know before booking and we can confirm whether extended hire is available.

Can I bring pets?

Pets must be kept away from the setup unless agreed in advance. This is to protect the soft furnishings, rugs, décor and tableware.

Any damage, staining, mess or disruption caused by animals may result in additional charges.

Are children allowed?

Yes, absolutely. Children must be supervised by the hirer or responsible adults at all times,

especially around candles, glassware, tableware and styling items.

What colour themes are available?

We offer a curated selection of seasonal and signature Poshnics styling options.

If you’re looking for something specific, let us know and we’ll confirm whether custom styling is available.

What’s your cancellation policy?

Cancellations made more than 14 days before the event date will result in the loss of the booking deposit. Any additional payments made may be refunded, less any costs already incurred.

Cancellations made within 14 days of the event date may result in the loss of any payments made, as preparation, staffing, travel planning, personalised items and hire allocation may already have taken place.

What if something gets damaged?

Any damage, staining, breakage or missing items may result in the full or partial loss of the refundable security/damage deposit.

If the cost to clean, repair or replace items exceeds the deposit, an additional invoice may be issued.

Can I bring my own food and drinks?

Yes, you’re welcome to bring your own food and drinks.

Food and drink must be handled with care, as spillages, stains, burns or odours may result in cleaning or replacement charges.

Do you provide catering?

We do not currently provide catering directly, but we can recommend trusted local catering partners where suitable.

Any catering agreement is between you and the third-party supplier unless otherwise stated in writing. Poshnics is not responsible for third-party food preparation, delivery, allergens, dietary requirements or supplier delays.

How do I book a picnic?

You can enquire through our contact form, email or Instagram.

Once availability has been confirmed, we’ll send over the next steps, including your invoice/payment details, booking form and Terms & Conditions. Your booking is only confirmed once the required booking deposit or agreed booking payment has been received and the completed booking form has been submitted.
